Dealing with Difficult Board Meeting Participants

Board meetings are meant to focus on strategy, oversight, and progress. But sometimes personalities take center stage. Every board has participants who can derail discussion, whether it is the member who always takes offense on behalf of others or the one who repeatedly steers the conversation toward their personal agenda. When this happens, the work of the board suffers and frustration rises.

The good news is that you can manage these situations without losing momentum or damaging relationships. Here are a few practical ways to keep meetings constructive.
Stay calm and confident
When a discussion takes an unhelpful turn, your own composure sets the tone for the room. If you meet tension with tension, the situation escalates. If you remain steady and confident, others are more likely to follow your lead. Staying calm also keeps you focused on the agenda rather than the drama.


Make thoughtful interventions
Correcting behavior does not mean embarrassing a colleague. Sometimes all it takes is a well placed reminder of the agenda or a gentle redirect that acknowledges their point while moving the conversation forward. For example, “I appreciate your perspective, but let’s bring this back to our current discussion.” Interventions like this protect the group dynamic without alienating the individual.


Keep the meeting on track
The chair or facilitator has the responsibility to guide discussion, but everyone can play a role in steering back to the purpose of the meeting. Tools like timed agendas, clear ground rules, and agreed upon decision making processes help the group avoid being hijacked by a single voice. When the framework is strong, it is easier to redirect the conversation and keep progress moving.

Board service can bring together a wide range of personalities and perspectives, and that diversity is valuable. The challenge is to make sure strong personalities do not overshadow the collective work. By staying calm, making respectful interventions, and reinforcing structure, you can create meetings that are productive, focused, and respectful, even when things get difficult.
